This Privacy Policy describes the information we may gather from you, how we use and share that information, and our processes for storing and protecting it. By using our System, you expressly consent to the information handling practices described in this Privacy Policy, which also forms part of the “Terms of Service” which must be accepted to use the Vitaligns system.
User Provided Identifying Information including personal information (such as your name, e-mail address, telephone number, GDC number) and affiliated institution information (such as the name of the clinic where you practice and its address)
Automatically Collected Information including Internet Protocol address, UDID, or other device address or ID, web browser and/or device type, the web pages or sites that you visit just before or just after the Service, the pages you view on the Service, and the dates and times that you visit the Service.
Sensitive End-User Data including information about an individual’s health, and their use, receipt or request for provision of health services, medical history and other information provided to us.
Most Personal Information we collect is provided directly by you. You may provide personal identifiers to Vitaware Ltd. when you register for and use the Vitaligns System, or otherwise communicate with Vitaware Ltd. This is necessary to identify you as a UK healthcare professional able to take responsibility for use of the Vitaligns System for healthcare practices, to develop an account by which your interactions with the System can be linked (such as patient details, treatment plans and all associated data), to facilitate function of the System itself and to be able to provide a service to you.
During standard use and operation of the Vitaligns system, Vitware Ltd. may automatically gather and record some additional information for the purpose of record keeping, tracking and analysis of user activities for the purposes of debugging and improving our services. Various methods including standard log files and “web beacons” may be used to collect this data.
We provide software products and services to assist health service providers to provide their service and develop orthodontic treatment plans. In order to provide these products and services, our customers may share personal information such as patient personal, sensitive and health information (End-User Data) with us. We only use End-User Data for the purpose of delivering our products and services. We do not share End-User Data with third parties without consent or unless compelled to do so by law. We do not use End-User Data for marketing purposes.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are Your consent. You are able to remove your consent at any time by contacting Vitaware Ltd.
Your information is securely stored on encrypted cloud databases in adherence with strict standards.
We will retain your data for as long as needed to provide you services. We may retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. Where possible (and subject to the foregoing), we generally remove your data from active user databases promptly upon request, but a longer period may be required to delete other copies stored on our servers. Note that we do not delete from our servers’ files that you have in common with other users, and that we may retain archival copies of all your data stored in connection with routine information technology backups. For medical data, we are required to store information for 10-years in accordance with medical data storage requirements. Once this storage time elapses, all data will be deleted by complete removal from our databases. This does not impact your data protection rights.
